Guidehouse is a leading global provider of consulting services with over 8,000 professionals in more than 50 locations. Following a significant business acquisition and period of organic growth they were looking to update their digital workplace system to match their increased size and growth ambitions.
With complex technical requirements, the business needed an advanced migration tool to support the big move. However, they struggled to find one which would work with their highly regulated Microsoft 365 Government licenses; which is a requirement to work with their Federal and Public Sector client base.
After an initial consultation, our migration team assured the Guidehouse team of Proventeq's capability to develop a solution which would work with highly restricted Microsoft 365 Government tenants.

Client Challenges
GCC High compatibility required
Many migration solutions support migration to Microsoft 365 Global; however, almost none are natively compatible with Microsoft 365 Government because of its security and governance complications.
High cost with license duplication
Guidehouse was already paying for Microsoft 365, including SharePoint, but wasn't utilizing it. Keeping their legacy Citrix ShareFile system would cost an additional $1 million annually, making migration a compelling choice.

Decommission of legacy system
We developed a strategy to decommission Guidehouse's legacy ShareFile system to fully utilize Microsoft 365. By using SharePoint as part of the existing Microsoft 365 subscription, the company eliminates the additional licensing cost with their legacy system.
Restructuring data
Ahead of the SharePoint rollout, we analyzed and resolved potential data errors. By restructuring and reclassifying the data, we achieved enriched content, enhancing accessibility, navigation and collaboration within SharePoint.
Ensuring security & compliance
Using our discovery filter, we segmented thousands of documents into shared folder types for SharePoint and personal folders for OneDrive while retaining the same folder-level security and metadata. Documents were stored in specific document libraries to ensure security and compliance.
The Results
Significant annual cost savings
Guidehouse was using and paying for Microsoft 365 and Citrix ShareFile licenses, which was not cost-effective. Decommissioning their legacy Citrix ShareFile system to use SharePoint has saved them an additional annual cost of $1 million.
Enhanced security & compliance
The company has benefited from advanced security features in SharePoint Online Libraries, including role-based permissions, Data Loss Prevention (DLP) and retention policies, while staying compliant with GCC High security standards.
Removed 22% of ROT data
Our migration design and configuration reduced data size from 18TB to just 14TB by excluding redundant versions of archive files. With less quality data to migrate, our client achieved the same migration goals on a quicker timescale.
