Client Overview

DLF Limited is the largest publicly listed real estate company in India, specializing in the development of commercial, retail and residential properties. They have more than 75 years of real estate investment, development and management experience, with a record of customer-centric service excellence in 15 states and 24 cities.

Our client's goal was to implement SharePoint to provide stakeholders with the flexibility of a centralized platform and eliminate the overall additional cost associated with their legacy infrastructure. With a large volume of data held in the company's aging IBM FileNet system, a requirement to avoid any disruptions and minimize business downtime during the migration process was required.

They chose Proventeq to help discover, analyze, enhance and migrate their content portfolio using the capabilities of our Content Productivity Suite. After a successful migration, our team followed up with 90 days of post-migration support to ensure the switchover was efficient.

Client Challenges

DLF Challenges
Complex legacy system

Content stored across the company’s legacy system was not correctly filed and secured. They needed a comprehensive analysis to identify any errors, including inconsistencies, before data migration.

Expensive legacy ECM platform

Our client encountered challenges with the additional cost of maintaining their IBM FileNet platform, which is mostly associated with managing legacy ECM systems. They eventually required a more scalable, modern and cost-effective platform.

Unstructured data system

Due to the complexity of the system, data had to be classified, consolidated and enriched to meet the demands of navigation and accessibility in SharePoint, improving collaboration and user efficiency.

Advanced security required

DLF Limited needed a platform to enable them to restrict user access to document views, reads and prints for internal and external usage. A more advanced security system was also required to help them stay compliant with regulatory standards.

Proventeq's Solution

Discovery & analysis

Using our Content Insights tool and drill down Power BI reports, we were able to identify and remove any potential data errors ahead of migration.

Decomissioning to SharePoint

We decommissioned IBM FileNet P8 and transitioned to SharePoint Online, a cost-effective platform. Our team also provided adoption support to allow DLF Limited to gain maximum value from Microsoft 365 features.

Restructuring data

Our team implemented classification rules and structure mappings in SharePoint to allow for easy user navigation, content accessibility and collaboration, enhancing efficiency and user experience.

Implementing security features

Security requirements were remodeled, including implementing user permissions and retention labels to allow our client to safeguard and have granular control over its data.

The Results

Significant cost savings

By transitioning to SharePoint Online, DLF has achieved a 35% reduction in licensing cost, alongside decommissioning IBM FileNet P8. Microsoft SharePoint is cost-effective compared to most legacy ECM systems.

Improved user experience & efficiency

SharePoint has empowered DLF with more centralized and advanced search features, enabling secure, quick and easy content distribution for all stakeholders, improving the overall user experience and efficient flow of information across the organization.

Enhanced security & compliance

With Microsoft Azure Information Protection and retention labels governing content stored on SharePoint, the long-term security of our client's data is assured. Advanced permission controls restrict unauthorized users from accessing specific content types based on their roles within the customized SharePoint Online instance.

The support from Proventeq made the transition quick and smooth. SharePoint Online now enables the flexible distribution, management and collaboration of our content.
