As part of its wider digital transformation strategy, the University set out to modernise institutional information management by consolidating business-critical content within Microsoft 365. The programme aimed to replace its legacy enterprise content management platform with a modern cloud-based environment that would reduce technology complexity, improve operational efficiency and create a strong foundation for future digital services.

Delivering the Transformation

Delivered a Structured, Low-Disruption Modernisation Programme

Proventeq worked closely with the University to deliver the transformation through a phased programme that modernised enterprise information management without disrupting critical university operations. This approach enabled the University to move from fragmented and legacy document repositories, including Documentum, towards a more consistent Microsoft 365 information management platform, while maintaining continuity for staff, students and service teams.

Aligned Information Management to Higher Education Services

The programme was shaped around the way higher education services manage information across the student lifecycle. This included simplifying how student intake, admissions, onboarding and academic records are captured, governed and accessed, helping the University reduce manual handling and provide a more consistent information experience for students and staff.

Sustained Self-Service Access Through Banner and Integration with the Information Management System

By aligning information management with Banner-based student services and Microsoft 365, the University strengthened the foundations for self-service access to trusted information. Staff could continue to work through familiar operational systems, while information was better organised, governed and available through the modern Microsoft 365 platform.

Connected SAP Business Process Records with Microsoft 365 and d.velop Solutions

With SAP as the University’s system of record, the d.velop solution integrated SAP with SharePoint and Microsoft 365, allowing SAP-driven workflows to manage documents directly in Microsoft 365. This created connected, consistent records across finance, HR, and student services, giving staff reliable access to critical information within their everyday systems.

Established a Scalable Platform for Governance, Automation and Future Innovation

With enterprise information consolidated and connected across Microsoft 365, the University established a stronger foundation for governance, automation and future digital services. The platform provides a scalable basis for improving information control, supporting process efficiency and preparing for future AI-enabled services as the University’s digital transformation continues.

Business Outcomes

One Trusted Home for Institutional Information

More than 4 TB of enterprise content comprising over five million content items was consolidated within a governed Microsoft 365 platform. This has simplified institutional information management across student services, finance and human resources, creating a more consistent and trusted environment for business-critical information. 

A Simpler Student Intake and Records Journey

Admissions, onboarding and academic records are managed through a modern cloud platform that works alongside Banner-based student services. Intake and enrolment information is captured and retrieved more easily, reducing manual handling for staff and supporting greater self-service across the student lifecycle. 

Business Process Records Connected to SAP

With SAP retained as the University’s system of record, supporting documentation is now linked to the transactions and processes it belongs to. Finance, human resources and student services teams work with connected, consistent records without switching between systems, improving day-to-day efficiency while business-critical services continue uninterrupted.

A Leaner Technology Estate and Lower Running Costs

Retiring Documentum, the legacy enterprise content management platform, removed a costly system from the estate and reduced ongoing support and licensing overhead, while making fuller use of the University’s existing Microsoft investment.

Ready for Stronger Governance and AI-Enabled Services

Institutional information is now secure, well organised and scalable, giving the University the control it needs over retention and access and a credible starting point for automation and AI-enabled services as its digital transformation continues.

Modernising our information platform was a critical step in advancing the University's long-term digital transformation. Moving away from our legacy Documentum environment was no simple undertaking, however, Proventeq worked with the University to understand the complexity involved and worked closely with our teams to migrate to Microsoft 365, with integration to SAP for key processes. The result is a solution that has strengthened information management, supported key university services, and positioned us well for the future.
