Client Profile

A globally diversified investment institution in the Middle East wanted to protect its sensitive data, reduce risk, ensure regulatory compliance and fulfil the content management needs from different departments across the organisation. To achieve this, they decided to migrate from their legacy Enterprise Content Management (ECM) system, Oracle WebCenter, to a modern collaborative platform, SharePoint Online.

This Sovereign wealth fund based in UAE is one of the world’s largest investment funds. They were using Oracle UCM as their central document repository which was unfit for their move to a modern workplace built around SharePoint and Teams. To enable a move to SharePoint and Teams, they chose Proventeq to discover, analyze, transform and migrate their content. Plus, guide effective adoption and training.

Proventeq’s migration experts worked closely with the Sovereign Fund team to design and implement a best practice content migration solution to enable a smooth transition to their SharePoint environment.

To meet the specific challenges and project requirements of migrating the organization’s business content to SharePoint, Proventeq proposed and executed a strategic six-step migration solution utilizing the advanced features of Proventeq’s Migration Accelerator product.

The challenges

Expensive and out of date legacy Oracle UCM system

The existing system was expensive to run, with high licensing, infrastructure, and maintenance costs.

Inefficient search leading to productivity loss

A dated search interface in the legacy ECM system was a hindrance for users trying to find the right content, resulting in a frustrating user experience and loss of productivity.

Lack of agility to help facilitate an organizational change

The move to a modern workspace required agile document management, which can be configured quickly to meet organizational needs. The existing ECM system was unable to provide the agility required for organizational change.

Complex setup to manage external collaboration

Since the existing system was on-premises, it required a complex supporting infrastructure to enable external sharing and collaboration. It also presented security risks.

Proventeq's solution strategy

Proventeq’s migration experts worked closely with the Sovereign Fund team to design and implement a best practice content migration solution to enable a smooth transition to their SharePoint environment.

To meet the specific challenges and project requirements of migrating the organization’s business content to SharePoint, Proventeq proposed and executed a strategic six-step migration solution utilizing the advanced features of Proventeq’s Migration Accelerator product. This included:

  • Identifying potential issues that could have affected the migration process via the drill-down discovery reports and pre-migration checks provided by Migration Accelerator software.
  • Shaping an efficient migration strategy for migrating documents to SharePoint, preserving the source Oracle UCM metadata and permissions
  • Restructuring the information architecture as per SharePoint best practices and a Teams-first approach
  • Modernizing the legacy business processes using Microsoft Power Platform and Azure services
  • Using incremental migration features in Migration Accelerator to deliver the production migration for the organization on a departmental basis to minimize business impact.
  • Effective change management, floor walks and instructor-led training to maximize user adoption and satisfaction
